Send the same quote request to each candidate
Describe the venue, audience, visit window, deliverables, deadlines, and intended uses. Ask what is included and what would cost extra. A quote for one posted video is not automatically a quote for editable footage and an advertising license.
Do not require a favorable opinion. Be clear about honest content, disclosure, factual corrections, and the distinction between a revision for an error and a demand to change an authentic experience.
- Number, format, and approximate scope of deliverables.
- Where the creator will publish and the planned timing.
- Whether your business may repost, edit, or use assets in paid ads.
- Duration of agreed uses and any exclusivity.
- Hosted items, guest allowance, travel, and other expenses.
- Revisions, cancellation, payment timing, and reporting.
A hypothetical budget, not a market-rate estimate
The figures below exist only to show how costs fit together. They are not observed quotes, recommended rates, or typical restaurant prices. Replace every line with your own scope and written quote.
| Cost line | Illustrative assumption |
|---|---|
| Creator deliverable fee | $300 |
| Hosted food and service cost to restaurant | $45 |
| Two staff coordination hours at $20 | $40 |
| Separately negotiated use rights | $100 |
| Optional promotion budget | $75 |
| Total modeled spend | $560 |
Compare scenarios without changing the labels
In that example, removing the optional $75 promotion produces a $485 scenario. Removing the separate $100 use-rights line as well produces $385, but only if the revised agreement also removes those uses. Do not keep the same usage expectations while deleting their cost.
Include taxes, travel, agency charges, or additional service costs when applicable. A hosted meal’s menu value may differ from the restaurant’s fulfillment cost; make clear which number you are using and whether it includes labor.
Compare customer campaigns on a different unit of work
A customer campaign has invitations, submissions, owner review, and rewards. A commissioned creator assignment may deliver a specified finished asset and access to a particular audience. Cost per approved submission and cost per commissioned video are not interchangeable.
Use two separate worksheets: one for the written creator scope, and one for expected approvals, redemption, fulfillment cost, and staff time. Decide which arrangement answers your immediate goal. Do not assume customer campaigns are always cheaper or that hired content always produces more sales.
Define the evidence you will receive
Ask when deliverables and reporting will arrive, and what the numbers mean. Views, profile visits, link clicks, bookings, and purchases are different events. If you want booking attribution, establish the tracking process before publication and record its limitations.
Finish the decision with a maximum manageable spend, a clear scope, and a review date. If the proposal exceeds the budget, reduce the assignment or defer it. An optimistic sales forecast should not be the only thing making a creator agreement affordable.
